The Person: - Bachelor's degree
- Computer literate with knowledge of MS Word and Excel
- Minimum of 3 years experience in property management or strata management role. Preferably with mixed use developments incorporating residential use
- Proficient in spoken and written English Language. Arabic is an advantage
- Critical competencies: Negotiation skills, managing under pressure, planning & organisation skills
- Support Competencies: tact & diplomacy, results orientated
Role/Responsibilities: - Implement Asteco management systems
- Provide day-to-day management of the property / portfolio / client and ensure that the company's reputation as a high-quality service provider is maintained and enhanced
- Provide clients, and their professional advisors, with advice and assistance related to properties under development with reference to condominium management considerations to include, but not limited to; operational guidelines (occupiers handbooks, fitting out guidelines etc), materials & finishing's, contract & contractor specifications and qualifications
- Ensure that all operating procedures for the property run efficiently, including security, fire safety, and emergency & evacuation procedures
- Identify problem areas and recommend improvement plans to maximise the efficiency of site management
- Maintain good public relations with clients, owners and tenants of the property
- Arrange the placement of contracts for security, cleaning services, common area systems, maintenance of plant and equipment and any other services required by the Client/Building Association
- Monitor, control and organise all on-site staff and to be responsible for the actions of such staff in addition to ensuring that staff rosters and all holidays are adequately covered
- Oversee activities of contractors, vendor personnel and suppliers
- Monitor and oversee day to day repairs of the common areas
- Arrange insurance quotations and make recommendations in respect to all necessary insurance as well as handle any insurance claims
- Allocate, recommend and monitor the implementation of car parking policies and control procedures, including record keeping
- Implement and oversee the formation of the Building Association's Owners Committee
- Liaise directly with owners to handle on-site common area issues and to deal with any problems and ensure good communication among owners and Building Association
- Arrange the circulation of necessary Building Association documentation as prepared by Asteco, as well as the placing of information and warning signs in the common area in case of lift maintenance, wet floors, etc
- Ensure the building is run efficiently and cost effectively at all times in a professional manner
- Regularly inspect the general condition, cleanliness and security of the property, compliance of Building Association guidelines and recommend and initiate enforcement actions, where appropriate
- Oversee the invoicing and collection of all Property Service Charges and other sums payable and prepare detailed periodical statements
- Monitor, report, recommend and carry out appropriate action in respect to arrears
- Prepare for approval by Head of Condominium Management all outgoings and payments to suppliers, contractors and consultants and provide detailed monthly statements of expenditure
- Prepare annual budgets for Building Association expenditure to be presented to at the Annual General Meeting
- Attend meetings with the Building Association's Owners Committee
- Be on call 24 hours a day in the event of emergency incidents
- Carry out any other duties as assigned by the Director of property management or where appropriate, client
