Job Description
Client:
· Ensure tenants comply with provisions of Lease Agreement and negotiate with clients terms and conditions ensuring company’s reputation is maintained
· Act as an escalated point of contact for tenants between property team and senior management and maintain good relationships with them
· Develop monitoring tools to capture tenant complaints and to ensure any issues are resolved within the defined timeline
· Run annual customer surveys and develop plans to tackle potential issues raised
Management & Finance:
· Assist in the development of Business Plans which includes goal for the department & use this plan to guide the team
· Ensure properties are operated in a manner consistent with UAE laws & company guidelines and procedures
· Report and advise senior management professional advice with property management considerations
· Report to line manager any escalated or non-compliance by team or Tenant in relation to use and occupancy of property
· In charge of Profit & Loss i.e. revenue and costs for the property
· In charge of CAPEX & operating expenses
· Prepare and monitor annual budget for the assigned property
· Oversee the preparation of financial statements and periodic reports on the status of various properties, lease expirations and related matters
· Develop and administer an annual operating budget
· Improve cost structure and benchmark against competitors
· Monitor rental levels against the current rental market
· Monitor rental collections and liabilities
Property Management (Lease Administration & Renewal):
· Ensure properties/ Tenant portfolios are handled efficiently & cost effectively in a professional manner
· Periodically inspect the general condition of the property with the FM and PM team and guide them to bring it to commitment deliverables
· Monitor weekly meetings to review progress on Lease Renewals
· Set effective procedure to ensure team issues timely LRNs in line with DWTC policy & procedures
· Review and monitor Lease Agreements and stipulate extent & scope of revised terms & conditions, responsibilities and services to be performed as per UAE laws and company policies
· Review admin teams performance to ensure timely issuance of Pro-forma Invoice and Cover Letter issued to the tenant
· Set regular meetings with Finance to manage outstanding payments, data entry for Horizon and allocation of payments
· Regular review of policy and procedures to ensure they meet the current department requirements and recommend improvements where possible
· Assign action plans to Leasing Coordinators
· Review long term lease renewal strategy Recommending best approach for renewing tenants (offer reductions or not, long-term lease vs. short-term, movement of tenants to create optimal rental areas, etc.)
· Meetings with tenants to address their requirementthe company
· Regular follow up with tenants to ensure timeliness of renewals
Facilities Management:
· Review and sign work commencement forms
· Supervise tenant fit-out process
· Attend monthly meetings to review FM performance
· Review of SLA to ensure the targets and activities are as required for AM
· Monitor the Liaising between the tenant and relevant departments as specific work is required by the tenant
Management Information Systems ( Horizon):
· Approval of alerts issued by Leasing Coordinators
· Regular Audit of data entry to ensure accuracy
· Regular review with IT to ensure system is functioning as proposed at original implementation
· Regular review of system reports to ensure information is accurate
Monthly Business Review:
· Review P&L information to ensure accuracy with department forecast
· Recommend information to be included on the monthly update
· Complete data entry for the presentation
· Update of department reports for occupancy and list of vacant units
